AAOMS Annual Meeting Exhibitor FAQs

Annual Meeting dates:

  • Full conference dates: Monday, Sept. 28 through Saturday, Oct. 3
  • Exhibition Hall open: Wednesday, Sept. 30 through Friday, Oct. 2

Everything else, from carpet to furniture to electricity and internet to trash cans, must be ordered from AAOMS’s vendors or shipped to the show site by the exhibitor.

  • Floor covering for your booth – Floor coverings are required. You can either bring your own floor covering – must fit 10×10 and not short/long – or rent from GES Exposition Services (GES), AAOMS’s general services contractor. GES ordering information can be found in AAOMS’s Exhibitor Service Kit.

As an example: an 8’x8′ rug is NOT acceptable and will be replaced with a 10’x10′ covering from GES at your expense.

  • Booth furnishings – Any furnishings including a table, chairs, a wastebasket and any kind of lighting must be brought in by you or rented from GES.
  • Electrical power – You must order any electrical power service to be connected to your booth space via the Exhibitor Service Kit.
  • Wi-Fi – There will be Wi-Fi service in the Exhibit Hall. Please note that if you plan to do business, AAOMS recommends purchasing a hard line in the event the Wi-Fi becomes spotty or goes down for any reason. You can order Wi-Fi service in the Exhibitor Service Kit.
  • Lead retrieval – You can purchase a lead retrieval system from AAOMS’s registration vendor that will allow you to scan attendee badges and collect their contact information. This can be purchased in advance via the Exhibitor Service Kit. Email addresses will be included in lead retrieval.
  • Additional exhibitor badges – Every exhibitor is granted two badges per 100 square feet of booth space. Additional badges cost $105 in advance or $125 on-site. Exhibitor badge registration will open in early August.

Each year, AAOMS provides an Exhibitor Service Kit, which includes ordering forms and pricing from GES, AAOMS’s general services contractor, as well as exclusive and recommended vendors. The Exhibitor Service Kit will become available on the Annual Meeting website in late May 2026.

In-line, island and booths conducting retail sales have specific design requirements that protect the sight lines of neighboring booths and maintain the flow of traffic in the aisles. You must submit a floor plan for approval if:

  • You have an island booth (a booth that is open on all four sides, typically measuring at least 20’x20′ or 400 square feet)
  • You have an end-cap booth (an end-cap booth is exposed to aisles on three sides and composed of two booths)

You must submit plan view and elevation view drawings of your booth to Robin Gathman at [email protected] no later than July 17, 2026.

Note: Booths of the types indicated above that do not have pre-approved floor plans (designs) will not be allowed to set up at the 2026 AAOMS Annual Meeting.

AAOMS does allow end-cap booths only on 20-foot cross aisles.  

Yes. All gifts, giveaways and contest items are subject to approval by AAOMS. All exhibitors who plan to distribute giveaways must complete the Booth Activity and Giveaway Form.

GES will begin receiving freight in the Advance Warehouse on Tuesday, Aug. 25; freight must be received by Thursday, Sept. 24 to avoid freight surcharges. Shipping in advance to the GES warehouse allows you to confirm your materials have arrived and assures that your materials will be in your booth when you arrive. GES provides detailed instructions for shipping to the AAOMS Annual Meeting in its Exhibitor Service Kit.

Each exhibitor receives two complimentary exhibitor badges for every 100 square feet of booth space rented. It is highly recommended, as well as convenient and easy, to register your booth staff for their badges online. The badge portal will open in early August.

Additional badges can be purchased for $105 prior to the deadline. On-site badge purchase cost is $125.

When you pick up your exhibitor badges on-site, you may choose between two different methods of badge pick-up:

  1. If you are the single contact for your group and you have received the group confirmation, you may avoid lines at the full-service desk and use the Express Pick-Up kiosk. This will allow you to print all your badges at once so that you may distribute them to your staff.

(Note: You should only choose this method if you are certain that you will be able to distribute all of your badges prior to Exhibit Hall open time. If some members of your staff need to pick up their own badges on a “will-call” basis, you should visit the full-service exhibitor registration desk and only request the badges you can distribute directly.)

  1. If each member of your staff has received an individual confirmation, they may pick up their badge at the full-service exhibitor registration desk.

AAOMS offers a pre-registration list, which will be available for a limited time leading up to the Annual Meeting. AAOMS also offers a post-attendance list for six months after the meeting.

There is a charge for both lists. Lists are single use, do not contain email addresses and are available in Excel format. Download the attendee mailing list order form.

The 2026 Annual Meeting Exhibition installation dates and times are:

Tuesday, Sept. 298 a.m. – 5 p.m.
Wednesday, Sept. 308 a.m. – 1 p.m.

In order for the exhibition to be ready for the opening on Wednesday evening, booths must be set and tagged by 1 p.m. on Wednesday, Sept. 30. If set-up of any exhibit has not started by 1 p.m., Wednesday, AAOMS shall have the right to order carpet to be placed at the exhibitor’s expense, or the exhibit to be erected, and the Exhibitor billed for all charges.

The GES Service Center will be open during exhibitor set-up hours to assist you and will be located on Level EX, Exhibit Hall. Additionally, Dana O’Donnell, Director, Exhibit Sales and Corporate Relations, Alisa Prachan, Sr. Exhibit Sales Associate, and Robin Gathman, Floor Manager, will be able to assist you on-site with any special challenges, problems or needs.

The 2026 Annual MeetiAll exhibits must remain intact until the official closing of the exhibition at 4:30 p.m. Friday, Oct. 2. Exhibitors expressly agree not to begin packing or dismantling until such time. Exhibit booths must be staffed at all times during the exhibition and completely operational until the official closing date and time. NEW THIS YEAR: If a booth is not staffed until the exhibition closing time, the exhibitor will be imposed up to a $1,500 fine. The exhibitor will be subject to loss of seniority after the first warning. Exhibitors who continue to violate this regulation may be ineligible to participate in future AAOMS exhibitions. Plan your flights accordingly!

Exhibitors will complete arrangements for prompt pick up of all outbound shipments and removal no later than 12 p.m. on Saturday, Oct. 3. All freight not removed by noon on Saturday may be shipped by a carrier selected by GES and billed to the Exhibitor.

Although provisions for security are made, Exhibition Management, its agents and the agents for the Seattle Convention Center Summit do not assume responsibility for the safekeeping of any of your equipment, materials, tools or exhibits.
