Office open with staff currently working 3 days per week in the office and 2 days per week working remotely. This is not a fully remote position. Must be able to reliable commute to the office 3 days per week.

Overview

The Professional Affairs Associate reports to the Professional Affairs Manager of the Advanced Education and Professional Affairs Division and is responsible for supporting the division in logistical, operational, and administrative activities related to the conduct of research and professional affairs.

The Professional Affairs Associate works with other AAOMS employees to facilitate delivery of projects according to the priorities established by the members. Key Accountabilities
  • Staff liaison for the Committee on Cleft Craniofacial and Pediatric OMS (CCCPOMS), Committee on Oral Head and Neck Oncologic and Reconstructive Surgery (COHNORS), Special Committee on Facial Cosmetic Surgery and the Parameters of Care
  • Coordinate logistics for Professional Affairs Annual Meeting programs
  • Oversee the Single Degree Waiver application process for American College of Surgeons (ACS) Fellowship
  • Represent the department on the Staff Editorial Board
  • Coordinate and maintain the department content on the AAOMS website and serve as a department representative.
  • Receptionist/switchboard backup
Detailed Description of Key Accountabilities:

Anesthesia Assistant Programs

  • Work with PSI to address any DAANCE inquiries.
  • Coordinate and implement the AASL at the Annual Meeting and DIC
  • Coordinate and implement the AARC off-site course and Annual Meeting
  • Coordinate and implement the APME at the annual AAOMS Educational Weekend
  • Assist with DAANCE advisory committee meetings by coordinating logistics, notifications of meetings, conference calls and developing meeting report with assistance from manager.
  • Responds to questions and correspondence regarding all activities and resources offered, including meeting inquiries, seeking input from manager as needed.

Office Anesthesia Evaluations

  • Maintains member evaluation records with Membership.
  • Communicates with OMS State Societies on scheduling and completion of member valuations with Membership.
  • Create and distribute certificates of completion to members.
  • Collaborates with AAOMS Membership Department on member evaluation status.
  • Annually reviews state anesthesia regulations for review by the Committee on Anesthesia

CCCPOMS/COHNORS/SCFCS/Parameters of Care

  • Assists in developing meeting agendas and reports
  • Coordinate logistics for committee meetings and conference calls, including housing and travel arrangements
  • Assist in the implantation and development of biennial Head and Neck Oncology Conference, Cleft Craniofacial and Facial Cosmetic Surgery stand-alone meetings or pre-conferences
  • Assist committee in development of clinical practice guidelines
  • Performs literature searches for committee review.

Administration support for Single Degree Waiver for ACS Fellowship

  • Oversees database of applicants, both current and former
  • Assists in collection of documents and forms for individual applications
  • Combines applications to be sent to Review Group in AAOMS
  • Reports back to the applicants after decisions rendered.

Additional Staff Associate Duties and Responsibilities

  • Attend the AAOMS Today Editorial Board meetings, held bi-monthly
  • Oversee continual revision to AEPA web pages, as related to professional affairs.
  • Serves as the division’s switchboard backup.
  • Performs other similar or related duties as requested or assigned by the Associate Executive Director or Professional Affairs Manager in the Division of Advanced Education and Professional Affairs.
